Terms of Service

Welcome to PlayCheck. These Terms of Service ("Terms") are a binding agreement between you and PlayCheck ("PlayCheck", "we", "us", "our") covering your use of the PlayCheck website at playcheck.app, its applications, and all related services (collectively, the "Platform"). By creating an account or using the Platform, you agree to these Terms and our Privacy Policy. If you do not agree, please do not use the Platform.

1. About PlayCheck

PlayCheck is a sports identity and operations platform designed for youth sports in the Philippines. It provides a universal digital sports identity for athletes, and operational tools for training organizations, event organizers, and facility operators to manage registrations, attendance, events, payments, and player verification.

PlayCheck is developed and operated in the Philippines. The Platform is designed and maintained by Jamie Francis Dy (Portal Development & Security Architect).

2. Who Can Use PlayCheck

You must be at least 18 years old to create a PlayCheck account. The Platform serves youth sports, but children never hold their own login. A parent, legal guardian, or person exercising parental authority creates an account and adds each child as a dependent managed on the child's behalf.

By registering, you confirm that:

• You are 18 years of age or older;
• The information you provide is accurate and current;
• If you add a child as a dependent, you are that child's parent or legal guardian, or you have the guardian's written permission to act for them; and
• You consent to the processing of your and your dependent's personal data as described in our Privacy Policy.

3. Your Account

• Keep your login credentials confidential. You are responsible for all activity under your account.
• Provide accurate, current information and keep it up to date — including your own details and those of your dependents.
• Notify us immediately at support@playcheck.app if you believe your account has been accessed without authorization.
• Do not create multiple accounts to circumvent restrictions, suspensions, or verification requirements.

4. Managing Dependents and Other People's Data

When you add a dependent or enter information about another person (such as an emergency contact), you confirm that you have lawful authority to share that information and to accept these Terms and our Privacy Policy on their behalf as permitted by Philippine law, including Republic Act No. 10173 (Data Privacy Act) and Republic Act No. 7610 (Child Protection Act).

You are responsible for keeping their information accurate and for exercising their privacy rights responsibly. You may review, correct, or delete your dependent's data at any time from your dashboard.

5. Organizations, Events, and Payments

Training organizations, tournament organizers, and facilities ("Organizations") use PlayCheck to operate their programs, events, rosters, and registrations. Organizations set their own fees, schedules, rules, and refund policies. Your agreement for a specific program or event is with that Organization, not PlayCheck.

• PlayCheck records entries, obligations, and payments so you and Organizations can track what is owed and paid.
• Where payment is made outside the Platform (bank transfer, GCash, or other e-wallet), you upload proof and the Organization verifies it. PlayCheck does not hold funds, does not process card payments directly, and does not store card numbers.
• Payment adjustments (reductions, waivers, additional charges) made by an Organization are reflected on your entry. Always refer to the current amount shown for your obligations.
• Refunds, credits, and disputes are handled by the Organization under its own policy. PlayCheck provides records to assist resolution.

6. Verification

PlayCheck offers identity and age verification for players. When you upload documents (such as a birth certificate, school ID, or passport), they are reviewed by an authorized human reviewer to confirm the player's identity and age eligibility. Verification helps prevent age fraud in youth sports competitions and is required by some Organizations for event registration.

You agree to upload only authentic, unaltered documents that you have the right to provide. Submitting fraudulent documents may result in immediate account suspension and reporting to relevant authorities.

7. Acceptable Use

You agree not to:

• Violate any law, or use the Platform to harm, harass, exploit, or endanger anyone — especially children;
• Impersonate another person, misrepresent your age, or submit false verification documents;
• Upload malicious software, attempt unauthorized access, or disrupt the Platform's operation;
• Copy, scrape, resell, or misuse personal data of other users obtained through the Platform;
• Post or transmit content that is unlawful, defamatory, obscene, or infringes others' rights;
• Use automated bots, scrapers, or scripts to access the Platform without written permission; or
• Circumvent security measures, access controls, or rate limiting.

8. Content You Provide

You retain ownership of information, documents, and images you upload ("Your Content"). You grant PlayCheck a limited, non-exclusive license to host, process, display, and transmit Your Content solely as necessary to operate the Platform and deliver the services. You represent that you have all rights necessary to upload Your Content, including photographs of players.

9. PlayCheck's Intellectual Property

The Platform — its software, design, branding, PlayCheck ID system, and documentation — is owned by PlayCheck or its licensors. These Terms grant you a personal, non-transferable right to use the Platform as intended. They do not grant rights to our name, logos, source code, or proprietary systems beyond normal use.

10. Service Availability

We work to keep the Platform reliable and available but provide it "as is" and "as available." We may:

• Update, modify, or discontinue features with reasonable notice;
• Perform maintenance that may temporarily interrupt access;
• Implement rate limiting and security measures to protect the Platform.

We are not liable for interruptions caused by circumstances beyond our reasonable control.

11. Limitation of Liability

To the fullest extent permitted by Philippine law, PlayCheck is not liable for indirect, incidental, consequential, or punitive damages, or for loss of profits, data, or goodwill arising from your use of the Platform. Nothing in these Terms limits liability that cannot be excluded under mandatory Philippine law, including the Data Privacy Act of 2012 and the Civil Code.

Disputes about fees, refunds, eligibility, or event conduct are between you and the relevant Organization.

12. Indemnification

You agree to indemnify and hold PlayCheck harmless from reasonable losses, damages, or expenses arising from: your breach of these Terms; your misuse of the Platform; your submission of fraudulent documents; or your infringement of another person's rights through the Platform.

13. Suspension and Termination

• By you: You may close your account at any time from Settings → Privacy → Delete Account, subject to any outstanding obligations to an Organization.
• By us: We may suspend or terminate accounts that violate these Terms, create risk to children's safety, submit fraudulent documents, or misuse the Platform.
• Effect: Upon closure, your data is handled per our Privacy Policy retention schedule. Some records may be kept where law or legitimate safety purposes require.

14. Changes to These Terms

We may update these Terms as the Platform evolves or the law changes. When we make a material change, we will update the version and effective date above and notify you through the Platform. Continuing to use the Platform after notice constitutes acceptance of the updated Terms.

15. Governing Law and Dispute Resolution

These Terms are governed by and construed in accordance with the laws of the Republic of the Philippines. Any dispute arising from these Terms or your use of the Platform shall be subject to the exclusive jurisdiction of the courts of the Philippines, without prejudice to your rights under the Data Privacy Act of 2012 to file a complaint with the National Privacy Commission.
